Registration is the first step in that journey. This page walks you through what to expect during the registration process, including what information you’ll need, how payments work, what access you’ll receive after registering, and how Encore supports you along the way. Choosing the Right Registration Path When you’re ready to register, you’ll start by selecting the option that matches your role on the trip. Most travelers will register as participants using the Group Leader ID and Group Leader’s last name provided by their director. Participants include students, parents or guardians registering a student, and adult travelers. Group Leaders are typically directors or primary ensemble leaders, while Assistant Group Leaders include assistant directors or designated chaperones. This is the page you’ll see when you begin registration. What You’ll Need Before You Start Before you begin registration, it helps to have a few pieces of information ready. You’ll need your Group Leader ID and last name, your legal name as it appears on your passport or birth certificate, emergency contact information, and a payment method for your initial deposit, if applicable. You do not need to have your passport in hand to register. Passport details can be added later. How Registration Works (Step by Step) The registration form will guide you through entering your personal information, emergency contacts, and payment preferences. Youth Groups and Additional Forms For youth groups, some destinations may require additional travel documents, such as parental consent forms or country-specific paperwork. If any extra forms are required for your trip, Encore will guide you through the process and let you know exactly what’s needed and when. You will not be expected to research requirements on your own, and most travelers can complete registration without needing additional documents right away. Payments: What to Expect To enroll, travelers submit an initial deposit, which secures a spot on the tour. After registering, you’ll choose how you’d like to pay the remaining balance. Many travelers opt for Automatic Payments, which divide the balance into manageable monthly installments with no deadlines to remember. Manual payment schedules are also available, depending on your group’s plan. You’ll be able to view your balance, track payments, and manage everything online through your My Account page. Travel Protection Options For peace of mind, every Encore traveler is automatically enrolled in a Basic Protection Plan at no extra cost. During registration, you’ll also have the option to upgrade your protection plan. About half of Encore travelers choose to upgrade, often for added flexibility and enhanced coverage benefits. Upgraded protection plans may include additional instrument protection, expanded health and travel coverage, and Cancel For Any Reason benefits that provide greater refund flexibility if plans change. Save with Encore’s Bundle Discount Travelers who upgrade their protection plan and enroll in Automatic Payments receive a $100 discount that is automatically applied to their program fee. What You’ll Have Access to After You Register Once your registration is complete, you’ll receive a confirmation email and access to My Account. From there, you can review your registration details, make payments, upload or update travel documents, and access trip information as it becomes available. Information is released gradually as your departure approaches, so you will always know what to expect next.
