Travel is easier when everything is handled for you. ACIS/Encore secures reliable round-trip fares, locks in your quoted airfare and fuel costs, and coordinates the details so you can simply enjoy the journey.

In addition to guaranteed group flights, you may request an alternate return, opt out of airfare and make your own arrangements, or explore a flight upgrade. Upgrade requests require a $250 service fee plus airline charges, and availability depends on your route and fare type. All requests are reviewed by our team and confirmed before anything is finalized, ensuring your travel stays smooth and stress-free.

Find answers to the most common flight questions for Encore travelers. This FAQ covers when you’ll see flight details, seat selection, upgrades, frequent flyer numbers, alternate returns, and traveling on your own airfare.

We book group tickets on commercial scheduled airlines. Although flights are often secured well in advance, your specific flight details may not appear in My Account until about 30 days prior to departure, once the airline contract is finalized to minimize changes.

The name on your ticket must match your passport exactly, including your middle name. We ticket based on the names in My Account, so please double- and triple-check for accuracy. If you notice an error after ticketing, email us immediately. Airlines may charge fees for a name change, and in some cases a new ticket may be required.

Maybe. Each airline contract is different. Some allow individual seat selection or paid upgrades; others give the group a block of seats that are assigned. If individual selection is permitted, you can usually use your record locator on the airline’s site 30 to 7 days before departure to choose a seat (fees may apply).

Group contracts usually do not allow upgrades. If you want us to explore separate, non-group ticketing, we can try. There is a $250 upgrade service charge (for 2025 trips) plus the airline’s upgrade cost. Upgraded tickets are typically nonrefundable beyond standard cancellation fees. To request, email Ask@acis.com with the upgrade type you want (e.g., business, extra legroom), whether a companion is upgrading, and if you wish to sit together. The deadline to request an upgrade is 90 days prior to departure.

Airline rules vary for group contracts. We cannot add Frequent Flyer numbers or KTN/Global Entry/TSA Pre-Check on your behalf. Closer to departure, ask the airline if your number can be added, or try adding your Frequent Flyer number during online check-in.

Yes, if you notify us no later than 90 days before departure. Please complete the Alternate Return Request Form so we can review routing and availability. We can’t guarantee specific flights or airlines, and we won’t confirm alternate returns until the main group flights are finalized. Once alternate return tickets are booked, they are nonrefundable. Submit an Alternate Return request.

Yes. Confirm the correct travel dates and gateways with your Group Leader before booking. If you purchase only the land portion, you must arrange your round-trip flights and meet the group at the first hotel. Please note that neither ACIS/Encore nor your Group Leader is responsible for you when you are not with the main group. The deadline to choose No Airfare is 90 days before departure.

If your flight arrives before the group and there is space, you may be able to join the group shuttle. The shuttle cannot be delayed or held for late arrivals. Your Tour Manager will share meeting logistics once group flights are confirmed.
